QA Document Control Assistant

|Description:||The QA Document Control Assistant is responsible for assisting the QA Document Control Specialist in managing the documents that support detailed information required for QA Operations. Main aspects of this job will deal with the approving and/or changing of vendors, organizing new vendor information, and requesting necessary quality assurance related information from respective vendors surrounding product. Part of the new vendor and product set-up will include creating specifications, approving labels, and collecting the necessary documentation for products our customers need and buy. The QA Document Control Assistant will also assist the QA Supervisor/Team-mates with miscellaneous QA tasks as requested.|
|Duties:||• New Products|
o Approve new products from a QA standpoint on the New Product Committee and assist in developing standards for bringing in new products to GBF
o Function as an integral member of the NPI Committee in assisting the group to function effectively and responsibly in developing new products.
o Create specifications for all new products.
o Complete new product paperwork in a positive, timely, and accurate fashion.
o Use “New Product Checklist” to track information received/not received from new supplier/vendor.
o Follow New Product Information standard operating procedures when approving new products.
o Spreadsheets for customer complaints
o Damaged pallet report spreadsheets
o Aged status reports
o Expired products reports
o QA weekly report
• New Vendors
o Compare new vendor product specifications with GBF specifications to ensure product meets our standards.
o Approve new vendors by receiving questionnaires, inquiries, specification sheets, flow charts, and update files as needed.
o Follow-up on vendor information requests using follow-up folder in Microsoft Outlook.
o Create new vendor folders with established QA categories for files.
o Follow New Vendor Information standard operating procedures when approving new vendors.
o Research, develop and approve all new product labels with strict attention to detail.
o Randomly check current labels for compliance to FDA, Kosher and Organic standards.
o Set-up spec sheets for Trade Labels (for GBF items sold in bulk stores). This will involve calculating nutritional information for various serving sizes.
o Know FDA/USDA labeling laws and regulations for FOOD and DIETARY SUPPLEMENTS (country of origin, USDA NOP, nutrition facts, net weights, nutrient content claims, allergens, plus other required elements) as they apply to respective products and apply knowledge to
o Create Label Develop Forms for Marketing, Bartender Labels, and Import Labels
o Kosher – apply new items to Schedule B, complete tasks from Rabbi as needed, update new suppliers to Schedule A, kosher private label agreements for imports and customers,
o Certification Expired Certs Tracking – Run X3 expired certification reports. Keep all Vendor Kosher and Organic Certificates current and on file (electronically).
o Fair Trade Certification – tracking purchases and sales. Submit quarterly report to our Fair Trade Certifier.
o Organic – know USDA NOP regulations, apply new items to our certificate, update suppliers, track labels, maintain Organic Compliance Tracking Spreadsheet, assist in annually monitoring non-compliances.
• General QA Knowledge
o Apply knowledge of allergens to create strategic approach to gluten-free foods. Gather this information from suppliers and track in X3.
o Certificates of Analysis and Product Specifications
o HACCP, GMP’s, QA Policies
o Know X3 and utilize applications. Be visionary for new QA applications in X3
o Write SOP’s as they pertain to QA Technician position and duties. Also assist in writing SOP’s as needed.
o Continue to educate yourself in aspects of Food Safety, Food Labeling, Product Information, GBF policies and assist in educating fellow GBF employees
o Assist in audits as requested – Organic, Kosher, Fair Trade, and Food Safety.
• Sales Tasks
Complete customer questionnaires/requests for documentation
Continuing Letters of Guarantee for customers
Miscellaneous requests for information and documentation from our sales team
C of A’s
• Maintain a positive, upbeat, and friendly attitude toward all customers, internal and external, and our vendors.
• Occasionally lifting up to 25 lbs.
• Complete miscellaneous tasks and special projects as assigned by the QA Supervisor
• Run company errands as requested.
• Update SOPs related to the QA technicians position each year.
|Qualifications:||• A high school diploma is required, and a Bachelor’s degree with a science and/or math emphasis is preferred. A keen interest and ability in science related to the food science arena is also desirable. Individual must possess at least three years computer experience, with basic to intermediate in Microsoft Office skills. Knowledge of X3, our enterprise resource planning data base system is helpful. The qualified individual must possess excellent problem-solving skills, telephone skills, writing skills, research skills, a positive customer service oriented approach, and excellent attention to detail. The ability to multitask, stay organized and prioritize work flow is essential to be successful in this position. |
